This policy explains how we handle personal information collected through our website, https://delineaconsulting.ca, in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

This policy covers visitors to and subscribers of our website. Personal information you provide to us as a bookkeeping client is governed separately by your engagement agreement with us.

If you have any questions, or want to access, correct, or delete your information, contact us at privacy@delineaconsulting.ca

Newsletter sign-up. If you subscribe to our newsletter, we collect the name and email address you provide. We use this only to send you the newsletter and related updates. Sign-up is confirmed by double opt-in (you click a link in a confirmation email), and you can unsubscribe at any time using the link at the bottom of any newsletter. Our newsletter is sent using MailPoet (operated by Automattic); your subscription details are processed through their sending service.

Contact form and email. If you contact us through our contact form or by email, we collect the name, email address, and any details you choose to include in your message. We use this to respond to your inquiry and, where relevant, to follow up about our services. Email to our domain is handled by Zoho Mail.

Booking a consultation. If you book a consultation through our online scheduler (embedded on our site), we collect your name and email address, any guest email addresses you choose to add, and your answers to a short set of questions: whether you are a business, a bookkeeper, or both; the type of help you are looking for; your current website address; and any optional background you choose to share. We use this to schedule and prepare for our meeting, and the booking syncs to our calendar. Scheduling is provided by Calendly (Calendly LLC, a U.S. company); your booking information is processed and stored by Calendly on servers in the United States.

Website analytics. We use Google Analytics (via the Site Kit by Google plugin) to understand how visitors use our site so we can improve it. This service uses cookies and may collect data such as pages visited, approximate location, device and browser type, and referring site. This information is processed by Google and may be stored outside Canada.

Comments (currently not enabled). We do not currently accept comments on the site. If we enable comments in the future, the following applies: when visitors leave comments we collect the data shown in the comments form, plus the visitor’s IP address and browser user-agent string to help with spam detection. An anonymized string created from your email address (a hash) may be provided to the Gravatar service to check whether you use it; the Gravatar privacy policy is at https://automattic.com/privacy/. After a comment is approved, your profile picture is visible publicly alongside your comment.

Media. If you upload images to the website, avoid uploading images with embedded location data (EXIF GPS), as visitors can download and extract that data.

Analytics cookies. Google Analytics sets cookies to measure site usage. These help us see how the site is used in aggregate.

Scheduling cookies. Our Calendly booking page is embedded on our site, so Calendly may set cookies to operate the scheduler on the pages where it appears.

Comment cookies (if comments are enabled). If you leave a comment you may opt in to saving your name, email address, and website in cookies for your convenience, so you don’t have to re-enter them next time. These last for one year.

Login and editor cookies (administrators only). When we log in to manage the site, temporary and session cookies are set to handle login state and screen display choices. These contain no visitor personal data.

Pages on this site may include embedded content (for example, YouTube videos). Embedded content from other websites behaves exactly as if you had visited that other website. These sites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that content, including if you are logged in to that website.

We do not sell your personal information. We share it only with the service providers that operate our website and communications:

  • Automattic / WordPress.com — website hosting and the MailPoet newsletter service
  • Calendly — consultation scheduling
  • Google — website analytics
  • Zoho — email

Some of these providers store or process data outside Canada, including in the United States, where it may be subject to the laws of that country. We use reputable providers and share only what is needed for each service to function.

If you request a password reset (administrators only), your IP address is included in the reset email. Visitor information submitted through comments may be checked by an automated spam-detection service.

Newsletter: until you unsubscribe, after which we remove you from the active list.

Contact inquiries: for as long as needed to handle your request and any reasonable follow-up, then deleted or archived.

Booking records: for as long as needed to manage the appointment and any follow-up, after which they are deleted or retained only as a client record if you become a client.

Analytics: retained according to Google’s data-retention settings.

Comments (if enabled): comments and their metadata are retained indefinitely so follow-up comments can be recognized and approved automatically.

Under PIPEDA you can:

  • Access the personal information we hold about you.
  • Correct information that is inaccurate.
  • Withdraw consent for the newsletter, unsubscribe at any time; for other information, contact us.
  • Request deletion of personal information we hold, except anything we are required to keep for legal, administrative, or security reasons.

To make any of these requests, email privacy@delineaconsulting.ca. We will respond within a reasonable time as required by law.

If you have a concern about how we handle your personal information, please contact us first at privacy@delineaconsulting.ca so we can try to resolve it. You also have the right to contact the Office of the Privacy Commissioner of Canada (priv.gc.ca).
